The steps

  1. Pick a small folder structure. Create four to six top-level folders in Documents that match how you look for things, such as Finance, Work, Personal, Reading, and Archive. Fewer folders are easier to keep up with.
  2. Tidy the Desktop with Stacks. Control-click the Desktop and choose Use Stacks. Files group by kind automatically. Choose Group Stacks By to switch to date or tags.
  3. Use tags and Smart Folders for cross-cutting views. Tag files that belong to more than one place, such as a client name. In Finder, choose File > New Smart Folder to save a search, for example all PDFs modified this month.
  4. Automate the Downloads folder. Install an organizer to file new downloads for you. OCDify reads each document on your Mac and moves it into the categories you named; Hazel applies rules you write. Turn on folder watching so new files are handled as they arrive.
  5. Review once a week. Spend five minutes checking Uncategorized and the organizer's history, correct anything misfiled, and adjust category descriptions or rules so the same mistake does not repeat.

Why Downloads is the folder that matters

Almost everything new arrives through Downloads: invoices from email, briefs from Slack, scans from your phone. It is also where generic names pile up (document (3).pdf, untitled.docx), which makes manual filing slow. Automating this one folder removes most of the work.

Choosing an automation tool

If you can describe your filing as rules, a rules engine such as Hazel is precise. If your files are a varied mix, an AI organizer is less work to set up. If privacy matters, check where the tool analyses your documents; OCDify runs its model on your Mac and uploads nothing.

Questions

What is the fastest way to clean up a messy Downloads folder on Mac?

Sort Downloads by Date Added, delete installers and duplicates you no longer need, then let an organizer file the rest. OCDify can organize the existing files in one pass and keep watching for new ones, with seven days of undo.

Does macOS have a built-in file organizer?

Finder offers Stacks for the Desktop, Smart Folders, and tags. They help you view files in groups but do not move files into folders for you.

How many folders should I use?

Start with four to six top-level folders. You can add subfolders later, but a short list is easier to remember and makes automatic sorting more accurate.
